I’m looking for a Senior Personal Assistant to take on my maternity cover. My job role includes supporting and organising the busy work life of our Managing Director, who is at the front of a fast paced recruitment company. Day-to-day, I’m a gatekeeper as well as being the key point of contact between the MD and the recruitment team, this involves organising meetings and following up on information that the MD requires from the team.

Our MD is a creative thinker and is passionate about his business and those that work in it.  Growth is key for the whole company and so he’s often on the move at client, business development and internal meetings.


With this in mind, you’ll need to be persistent in catching up with him in person or by phone when he’s between meetings and travelling to our four offices, keeping his inbox and calendar moving and up-to-date is essential.

Our offices are never quiet and you’ll be working closely with our team of recruiters and fellow administrators in our compliance, finance, marketing and support departments, so having a confident approach to your colleagues and your work is required. As the MD is often out of office you’ll need to have a good sense of initiative and independence to work effectively on your own.

I’m looking for someone who is professional and is able to show demonstrable skills of having worked as a PA at Director/ Board level. Being organised and having the ability to adapt well to new software as well as the facility to manage junior administrators will make you stand out.

What will your responsibilities be? Here are some of the things I do…

  • Diary and inbox management for the MD.
  • Taking minutes for Board and Team meetings and ensuring actions are addressed by the team in a timely manner.
  • Providing reports and business development lists to the MD as requested.
  • Preparing emails on the MD’s behalf to send to key clients for BD meetings. 
  • Organising small and large company events. This may mean a team event or candidate/client gatherings for which you will be required and/or encouraged to attend.
  • Prepare presentations, spreadsheets, and flow charts as required.
  • Using our CRM to update data and input information from client meetings the MD attends.
  • Act as Line Manager for the Junior Receptionist and Recruitment Administrator.
  • Provide assistance to the Commercial Director and Operations Director when required.
  • Ad-hoc personal tasks for the MD as required.

Some things you’ll have…

  • Proven track record of working as a PA at Director/Board level.
  • Very proficient in the use of Microsoft Packages and Adobe.
  • Confident in building effective working relationships with colleagues, clients and Board members.
  • Strong organisation and communication skills.
  • Discretion and the ability to handle information with sensitivity.
  • Enjoy working in a fast-paced environment.
  • Experience working in a Construction environment would be beneficial – but not essential.
